This notice explains how personal data is collected, used and stored in line with UK GDPR and relevant professional standards for remote work with schools and local authorities.
This privacy notice applies to work undertaken through EPforSchools, the online educational psychology service delivered by Corban Psychology Ltd, when providing remote assessments, consultations and written reports for schools and local authorities.
How we use information
Personal information is collected and used so that online educational psychology assessments and consultations can be carried out, and written reports can be provided for schools and local authorities. Information is used solely for the purposes of understanding a pupil’s needs and informing recommendations, including those related to Education, Health and Care Plans (EHCPs).
Online work may include video calls, remote observation (for example, through short video clips shared via a secure upload link) and the use of digital questionnaires or assessment tools where appropriate.
Who commissions the work
All work is commissioned by schools or local authorities. EPforSchools does not accept direct referrals from parents or carers. This helps to ensure that information is used within the statutory SEND process and appropriate safeguarding frameworks, and that reports are aligned with the requirements of EHCP applications.
What information is collected
The exact information collected will depend on the assessment, but may include:
– Pupil views and observations (including those gathered via video call)
– Parent/carer views shared through school or local authority
– School information and records
– Professional reports from other services
– Results from online or standard educational psychology assessments
– Relevant background, developmental or health information
– Short video clips shared via a secure upload link to support remote observation
Wherever possible, information is collected through the commissioning school or local authority, and families are kept informed about the purposes of the work and how information will be used.
How information is stored
Information is stored securely and retained only for the periods required by statutory guidance and professional regulations. Digital information is encrypted and access is controlled. Any paper records, where used, are stored securely and disposed of confidentially when no longer required.
Online platforms used for video calls and secure file transfer are chosen with data protection in mind. Short video clips or recordings used solely for observation are stored only for as long as needed to complete the assessment and write the report, and are then deleted securely.
Sharing information
Information is shared only with those involved in a pupil’s SEND assessment and provision, such as school staff or local authority professionals. Information is not shared for any unrelated purposes and is never used for marketing.
Reports are typically provided to the commissioning school or local authority, who may then share them with parents/carers and other relevant professionals as part of the SEND process. Where online tools are used (for example, digital questionnaires), only the information necessary for the assessment is entered.
Legal basis for processing
Personal data is processed on the basis of legitimate interests (providing specialist assessment and advice to support education) and legal obligations relating to the SEND and EHCP framework. In some circumstances, consent may also be sought for specific aspects of the work, such as the sharing of short video clips for observation.
Your rights
Under UK GDPR, individuals have rights in relation to their personal data, including the right to:
– Request access to the personal data held about them
– Request correction of inaccurate or incomplete data
– Request erasure or restriction of processing in certain circumstances
– Object to processing in certain circumstances
In most cases, requests relating to pupil information should be made via the commissioning school or local authority, who hold the main education record and will coordinate any response.
